Plain-English summary

This Privacy Policy describes how AIFY LLC ("TransLangPro", "we", "us") collects, uses, and protects your information when you use our document translation service. If you have questions, contact support@translangpro.com.

Data we collect

Account information: Your name, email address, hashed password, timezone and language preference when you sign up.

Payment information: Payments are processed by Polar. We do not store full card numbers, CVV codes, or bank details — only a payment token and the last 4 digits.

Documents and translations: Files you upload for translation and the resulting translation output. These are encrypted at rest and deleted on the schedule described in Section 4.

Glossaries: Custom terminology and dictionaries you create within your workspace.

Automatically collected: Server logs (IP address, user-agent, timestamps), session cookies, and anonymized analytics about how you use the product (click counts, navigation flows, session duration).

How we use your data

• Provide the service: Process your translations, store job history, and maintain your account.
• Communicate: Send receipts, job-status notifications, security updates, and material policy notices.
• Improve the product: Analyze aggregated, anonymized usage trends to improve translation accuracy and the user experience. The content of your documents is never used to train models.
• Security and legal: Detect abuse, prevent fraud, comply with legal obligations, and protect our and users' rights.

Retention & deletion

We only keep data for as long as necessary. Our retention schedule:

To delete your account and all associated data, go to Settings → Danger Zone → Delete account.

Your rights

Depending on where you live, you may have the following rights over your personal data:

• Access: Request a copy of the data we hold about you.
• Correction: Fix inaccurate or incomplete information in your account.
• Deletion: Request erasure of your personal data, subject to legal obligations.
• Portability: Receive your data in a machine-readable format.
• Opt out: Object to certain processing, including direct marketing.

Sub-processors

We use the following carefully selected sub-processors. Each has signed a data processing agreement and is bound by strict confidentiality terms.

Security

We implement appropriate technical and organizational security measures to protect your data:

• Encryption at rest: All documents are encrypted at rest using AES-256.
• Encryption in transit: All connections use TLS 1.3.
• Audit logs: Immutable logs capture all data-access activity.
• Security testing: Periodic penetration testing.
• Compliance: SOC 2 Type II (planned).
• Bug bounty: Responsible disclosure via support@translangpro.com.

International data transfers

If you are in the European Economic Area (EEA), UK, or Switzerland, your data may be transferred to the United States. These transfers are safeguarded by EU Standard Contractual Clauses (SCCs). You may request a copy of our SCCs by contacting support@translangpro.com.

Children

Our service is not directed to anyone under the age of 16. We do not knowingly collect personal information from children under 16. If you believe we may have collected information about a child, please contact us immediately at support@translangpro.com.

Changes to this policy

We may update this Privacy Policy from time to time. For material changes, we will notify you by email or prominent in-product notice at least 14 days before the change takes effect. Continued use of the service after the effective date constitutes acceptance of the updated policy.
